Welcome to Engaging Webinars (“we,” “our,” or “us”). We are committed to protecting your privacy. This Privacy Policy explains how our application, “MeetMetrics,” collects, uses, and discloses your information when you use our Zoom Meeting Monitor integration.

2. Information We Collect

We collect the minimum amount of data required for the application to function:

  • Meeting Metadata: Meeting ID, Topic, and Duration.
  • Participant Data: Display Names, User IDs (Zoom identifiers), Audio/Video status, and entry/exit times.
  • Chat Logs: Text messages sent within the meeting (only if the bot is configured to record chat).
  • Poll/Reaction Data: Anonymized counts of reactions (thumbs up, heart) and poll responses.

3. How We Use Information

The data is used solely for the following purposes:

  • Providing real-time engagement dashboards to the meeting host.
  • Generating post-meeting attendance reports.
  • Facilitating automated moderation (e.g., auto-muting) based on host-defined rules.

4. Data Sharing and Transfer

We do not sell your data to third parties. Data is processed in the following ways:

  • Local Processing: Most data is processed ephemerally within the browser memory of the meeting monitor agent.
  • Service Providers: We use secure cloud infrastructure (Vercel/AWS) to host our application code, but participant PII is not persisted to these servers.
  • Legal Requirements: We may disclose information if required by law or a valid court order.

5. Data Retention

We operate on a “Process and Discard” model:

  • In-Memory: Participant PII is retained in volatile memory only for the duration of the active meeting session.
  • No Long-Term Storage: We do not store video recordings, audio streams, or chat logs in our own permanent databases.

6. Your Rights

Zoom users have the right to access, correct, or delete their personal data.

  • For Attendees: As we do not strictly identify external users or hold their data, please contact the Meeting Host who enabled MeetMetrics for compliance with regarding your meeting data.
  • For Hosts: You may request the deletion of any configuration data we hold by contacting support.
